The Administrative Assistant is responsible for the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Position Description

Essential Functions

 

The Administrative Assistant is required perform the followings for CFRO.

 

  • Coordinating meetings with internal and external people, including arrangement of the meeting room, registration of external guests, notification of the meeting details to the participants, and/or any other arrangements as may be required.  
  • Communicating with JERA HQ on behalf of CFRO.
  • Managing CFRO’s schedule by using Microsoft Outlook/Teams.  Communication with CFRO is necessary for proper coordination/prioritization of each meeting.
  • Making the restaurant reservation for business purpose and notifying the details to the participants.
  • Arranging the business trip for CFRO, including the flight booking, hotel accommodation and other arrangements as required.
  • Daily clerical work, such as CFRO’s travel/entertainment expenses by using SAP Concur, drafting of the contract, invoice or any other billing work, approval of timesheet.
  • Managing the miscellaneous documentation, including filing of the related documents to the SharePoint folders.
  • Any other tasks which are mutually recognized between the Administrative Assistant and CFRO

Qualifications

Required Education and Experience

 

  • A minimum of Associates degree required.
  • A minimum 3 years of experience in administrative role.

 

Preferred Education and Experience

 

  • Bachelor's degree in related field preferred.
  • 3+ years of experience in administrative role

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Experience in Administration or good at repetitive, rule-based tasks
  • Experiences in PowerPoint slide creation and has sense of document design
  • Fluent in Japanese and English preferred
  • Willingness to learn new tools/functions (ChatGPT, Excel pivot/functions)
